Providential AI ("Company," "we," "us," or "our") operates the Providential AI platform at providentialai.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

2. Information We Collect
2.1 Information You Provide
- Account information: Name, email address, phone number, brokerage name, and real estate license number provided during registration or in Settings.
- Lead data: Contact information, property preferences, qualification data, conversation history, and booking records for leads you manage through the Service.
- Voicemails: Audio recordings and transcripts of voicemails received through your Twilio phone number.
- Payment information: Billing details processed by Stripe. We do not store your full payment card details on our servers.
- Integration credentials: Telegram bot tokens and other third-party integration credentials you connect to your account.
2.2 Information Collected Automatically
- Usage data: Pages visited, features used, actions taken within the Service, and timestamps of activity.
- Device and browser information: IP address, browser type, operating system, and device identifiers.
- Cookies and session tokens: We use session cookies for authentication and to maintain your logged-in state. We do not use third-party advertising cookies.
2.3 Information from Third Parties
- Google OAuth: If you sign in with Google, we receive your name, email address, and profile picture from Google.
- Google Calendar: If you connect Google Calendar, we access your calendar events and availability to schedule showings on your behalf.
- Lead sources: Lead contact information imported from platforms such as Zillow, Realtor.com, Redfin, and others via webhooks or manual import.
- Twilio: Inbound call metadata, SMS content, and recording URLs for voicemails associated with your account.
3. How We Use Your Information
We use the information we collect to:
- Create and manage your account and authenticate your identity
- Provide the Service, including operating the AI agent on your behalf
- Generate and send AI-composed messages to your leads via SMS and messaging platforms
- Schedule and manage showing appointments through Google Calendar
- Process payments and manage your subscription through Stripe
- Send you transactional notifications (booking alerts, system messages)
- Improve, debug, and optimize the Service
- Comply with legal obligations and enforce our Terms of Service
- Respond to your support requests and communications
We do not sell your personal information or your leads' information to third parties for advertising or marketing purposes.
4. Lead Data and Your Responsibilities
As an Agent, you are the data controller for the lead information you import and manage through the Service. We act as a data processor on your behalf. You are responsible for:
- Ensuring you have the legal right to contact and process data for your leads
- Obtaining any required consent for SMS communications under applicable law (including TCPA)
- Complying with all applicable data protection and privacy laws in your jurisdiction
Lead data you enter or import is stored securely in our database and is accessible only to you and our service providers as necessary to operate the Service.
5. How We Share Your Information
We share your information only as described below. We do not sell your data.
5.1 Service Providers
We share data with the following third-party providers to operate the Service:
- Neon / PostgreSQL: Database hosting for all account, lead, and conversation data
- Vercel: Application hosting and serverless compute; stores audio files via Vercel Blob
- Twilio: SMS delivery, voice calls, and voicemail recording
- OpenRouter / NVIDIA Nemotron: AI model inference for generating lead communications
- Google: OAuth authentication and Google Calendar integration
- Stripe: Payment processing and subscription management
- Telegram: Message delivery for leads using the Telegram channel
Each provider processes data only as necessary to provide their service and is bound by their own privacy policies.
5.2 Legal Requirements
We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Providential AI, our users, or others.
5.3 Business Transfers
In the event of a merger, acquisition, or sale of all or part of our assets, your information may be transferred to the acquiring entity, subject to the same privacy protections described in this policy.
6. Data Retention
We retain your account and lead data for as long as your account is active. If you cancel your account, we will retain your data for up to 90 days to allow for account recovery, after which it will be permanently deleted from our systems.
Voicemail recordings are stored until you delete them or your account is closed. Conversation history is retained for the duration of your account.
We may retain certain information longer if required by law or for legitimate business purposes such as dispute resolution and fraud prevention.
7. Data Security
We implement industry-standard security measures to protect your information, including:
- TLS encryption for all data in transit
- Encrypted storage for sensitive credentials
- Authentication via NextAuth with JWT sessions
- Server-side proxying of Twilio recordings (your leads' audio is never exposed directly to the browser)
- Environment-isolated secrets — credentials are never committed to source control
No method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data using reasonable and appropriate measures.
8. Cookies
We use the following types of cookies:
- Session cookies: Required to keep you logged in. These expire when you close your browser or after a period of inactivity.
- Preference cookies: Used to remember your settings and preferences within the Service.
We do not use third-party advertising or tracking cookies. You can configure your browser to refuse cookies, but doing so may prevent you from using the Service.
9. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will delete it.
